1. Who we are
This privacy policy explains how Pitchedfuel BV (“Pitched”, “we”, “us”, “our”) collects, uses, stores and shares your personal data when you visit our website, contact us, or make a purchase. We handle your data carefully and in accordance with the EU General Data Protection Regulation (GDPR) and applicable Belgian law.

2. To whom does this policy apply
This policy applies to everyone whose personal data we process: visitors to our website, customers, newsletter and waitlist subscribers, participants in our surveys or promotions, creators, and business contacts such as club representatives.
3. What data we collect
Depending on how you interact with us, we may collect:

Identity and contact details: name, email address, postal and delivery address, phone number.

Order information: products purchased, order history, and the information needed to process and deliver your order.

Payment information: the payment method you choose and the data needed to process your payment. Payments are handled by our payment providers, and we do not store full card details ourselves.

Subscription information: details relating to your recurring matchday subscription, where applicable.

Survey and marketing data: responses you give in our surveys, and your preferences for receiving communications.

User-generated content: images, posts or screenshots you submit to us, for example through our creator or community programme.

Device and usage data: IP address, browser type, time zone, the pages and products you view, how you reached our site, and how you interact with it. We collect this through cookies and similar technologies (see section 9).
4. How we collect your data
We collect data directly from you (when you order, create an account, subscribe, fill in a survey or form, or contact us), and automatically (through cookies and similar technologies when you use our site). In some cases we receive data via our partners, for example when you sign up through a campaign.
5. Why we use your data and on what legal basis
We only use your data for specific purposes, each with a legal basis under the GDPR:

To perform our contract with you (Art. 6(1)(b)): to process and deliver your orders, manage your subscription, handle payments, and provide customer service.

To comply with legal obligations (Art. 6(1)(c)): for example to keep invoices and accounting records for the legally required period.

For our legitimate interests (Art. 6(1)(f)): to secure and improve our website, prevent fraud, understand how our site is used, and contact existing customers about similar products. We balance these interests against your rights.

With your consent (Art. 6(1)(a)): for direct marketing where required, for non-essential cookies, and for processing user-generated content you submit. Where you gave us your details and your consent through our survey or waitlist sign-up, we rely on that consent to send you our marketing communications. You can withdraw your consent at any time.
6. Marketing communications
We only send you marketing communications (such as our newsletter) where you have signed up for them, given your consent (for example through our survey or waitlist), or where we are otherwise permitted to do so by law. Every marketing message includes an easy way to unsubscribe. You can also contact us at any time to stop receiving them.
7. How long we keep your data
We keep your personal data only as long as necessary for the purpose for which it was collected, or as long as required by law. For example, invoicing and accounting data is kept for the legally required retention period (currently seven years in Belgium). Where we no longer need your data, we delete or anonymise it.
8. Who we share your data with
We do not sell your personal data. We share it only with parties that help us operate, and only as far as necessary:

Shopify, our e-commerce platform, to operate the online store and process orders.

Our payment providers, to process your payment securely. Depending on the payment method you choose, this may include providers such as Shopify Payments, PayPal, Klarna and the card and wallet networks (including Visa, Mastercard, UnionPay, Apple Pay, Google Pay and Shop Pay). We may add or change payment providers over time.

Klaviyo, to manage our email communications, newsletter and subscriber or waitlist.

Recharge, to manage recurring subscriptions.

Typeform, to collect survey responses and form submissions.

Meta, for advertising and measurement through the Meta Pixel, where you have consented to the relevant cookies.

Google Analytics, to understand how visitors use our website, where you have consented to the relevant cookies.

Webship e-Fulfilment BV, our fulfilment and shipping partner, to store, pack and deliver your order.

Professional advisers and authorities, where required by law, to respond to a lawful request, or to protect our rights.
We may also share data in connection with a sale, investment in, or reorganisation of our business.
9. Cookies
Our website uses cookies and similar technologies. These include:

Functional cookies, necessary for the site to work (for example to remember your cart and session).

Analytical cookies, through Google Analytics, to understand how visitors use our site.

Marketing and tracking cookies, through the Meta Pixel, to measure our advertising and show you relevant ads.
When you first visit our site, our cookie banner lets you accept or refuse non-essential cookies. Non-essential cookies (including analytical and marketing cookies) are only placed once you have given your consent, and you can change your preferences at any time through the cookie settings on our site or your browser settings.
10. International transfers
Some of our service providers (such as Klaviyo, Meta and Google) are based outside the European Economic Area (EEA), including in the United States. Where your data is transferred outside the EEA, we ensure appropriate safeguards are in place, such as the European Commission’s Standard Contractual Clauses or an adequacy decision, so that your data remains protected.
11. How we keep your data secure
We take appropriate organisational and technical measures to protect your personal data against loss, misuse and unauthorised access. Access to your data is limited to those who need it to do their work.
12. Your rights
Under the GDPR you have the right to:

object to processing, including for direct marketing;

To exercise any of these rights, contact us at info@pitchedfuel.com. We will respond within 30 days. For complex or multiple requests this may extend to 60 days, and we may ask you to verify your identity.
You also have the right to lodge a complaint with a data protection authority. You can contact the supervisory authority in the EU country where you live or work, or where you believe the issue occurred. As Pitched is established in Belgium, you may also contact the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données, www.dataprotectionauthority.be).
13. Minors
Our website and products are not specifically aimed at minors. If you are under 18, you need the consent of a parent or guardian to use our website. If you are a minor and use our site, we assume you have obtained that consent.
14. Changes to this policy
We may update this privacy policy from time to time. We encourage you to review it periodically. The date at the top indicates when it was last updated.
